Improved contact info forms, agency payout statements & suppliers, and more!

Welcome back to another Tern Weekly Product Update! This week, we’re diving into some exciting new features designed to streamline agency operations, enhance collaboration, and improve forms functionality. 

Agency Payout Statements

We’ve introduced Payout Statements within the commission module to make tracking and processing payments for agents more efficient.

  • New “due” tab: Any payouts that are not on hold will appear as a single line item per agent.
  • Drill down for details & add adjustments: View all bookings associated with each payout and log additional adjustments if needed.
  • Bulk Payments: Pay out your agents in bulk, with auto-creation of statements for each agent.
  • CSV Export & Direct Sharing: Export statements as CSV files and share a direct link with agents to view them in Tern.

This update significantly reduces the manual effort involved in managing commission payments and ensures clarity for both agency owners and agents. Learn more here.

Agency Suppliers: A New Level of Organization

Another highly requested feature—Agency Suppliers—is now live!

  • Set a preferred supplier list: Agencies can now curate a centralized list of suppliers for advisors to reference.
  • Provide detailed supplier info: Include key contacts, incentives, and other relevant details for agents.
  • Boosted visibility for advisors: When advisors select a supplier within Tern, agency-specified suppliers will appear at the top for easy selection.
  • Better reporting accuracy: Standardized supplier selection ensures consistent reporting across the agency.

Additional Agency Improvements

Beyond these major updates, we’ve made additional refinements based on your feedback:

  • Improved Contact Sharing: Contacts created through forms now automatically follow the agency’s auto-sharing logic, ensuring better visibility.
  • Expected Commission Notes: Agents can now add notes when logging expected commissions (e.g., specifying personal travel), providing more context for agency owners.
  • File Attachments in Statements: Agencies can now attach files (e.g., supplier invoices, receipts) to statements. This is a precursor to an upcoming feature that will automatically parse supplier statements and match them to bookings.

Forms Overhaul: A More Intuitive Experience

We’re rolling out a series of improvements to Forms, with the first set of updates now live:

  • Refined layout: Form elements have been repositioned for a cleaner, more intuitive experience, aligning with our trip planning interface.
  • Custom Field Requirements: You can now set preferred first name, middle name, and email fields as required or optional on the contact information form.
  • Date of Birth Auto-Parsing: If a traveler uploads a passport, Tern will automatically extract their date of birth, reducing manual data entry.
  • Coming Soon: We’re actively working on Trip Request Form enhancements, allowing nesting of full contact information elements within traveler details.

Enhanced Collaboration & Data Exporting

A few more upgrades to improve team collaboration and data handling:

  • Export ‘Shared With Me’ Contacts: Collaborators can now export shared contacts—especially useful for agency marketing needs.
  • Notes for Shared Contacts & Trips: Collaborators can now view and add notes on contacts and trips they’ve been given access to.
  • Bug Fix: Group Landing Pages: Fixed an issue where flights with multiple legs set to display separately displayed all legs in one line.
